King’s Community Church Privacy Statement

At King’s Community Church your privacy is important to us. This Privacy Statement explains how we collect, use, and protect your personal information in line with UK GDPR and the Data Protection Act 2018. We aim to be transparent about how we handle your data and your rights. By using our services, you can trust that we treat your information responsibly and with care.

Consent for Children and Adults
Adults and children have the same data rights. However, for children under 16, we need parental consent (where applicable). Individuals aged 16+ can provide their own consent. If you’re a parent or carer and have questions about exceptions, please contact us.

What We Use Your Information For
We use the information you provide to keep track of who is part of our church community, to serve you and others in the wider community, and to communicate effectively. Specifically, we:
  • Keep lists of church members and attendees
  • Manage teams and create rotas for volunteers
  • Communicate with those associated with the church
  • Maintain contact details of church leaders, including those overseas
  • Store personnel records for employees and course participants
  • Track those receiving support through our community work (with their consent)

Your Options
You have control over how much information we collect, what is visible to others, and how we communicate with you. These options are available on forms where we gather your information, typically as tick boxes. You can choose to:
  • Opt in for email communications
  • Opt in for rota reminder emails

If you wish to adjust your preferences or restrict what we send you, please email us.

Communication Preferences
Email is our primary means of sharing church news and updates. Our weekly newsletter includes event details, opportunities to serve, and family news. We may also send occasional emails for encouragement, small group information, or important updates. If you are on a rota, we will contact you with team details and rota reminders.

You can change your communication preferences at any time by:
  • Logging in to My ChurchSuite (if you have a login) under the My Details - Privacy tab.
  • Emailing privacy@kingscommunitychurch.co.uk.
  • Clicking “Unsubscribe” in any ChurchSuite email.

Even if you opt out of emails, we may still need to communicate with you for legal reasons or to confirm any changes to your privacy options.

When We Must Keep Your Data
We usually seek your consent before collecting and storing your data, but there are certain situations where consent is not required, including:
  1. Children’s Information: For the safety and care of children, we must collect essential details like name, age, medical needs, and emergency contact info.
  2. Joining a Team: To manage teams and create rotas, we must include your name in our database if you volunteer.
  3. Joining a Connect Group: For Pastoral Support from our Connect Group Leaders, we must securely share your name and email address with them.
  4. Giving: We collect necessary details for financial processing when you give (unless you donate anonymously in cash). We handle this information securely and only share it when legally required.
  5. Legal or Protection Reasons: In certain cases, we may need to retain data to meet legal obligations or to protect individuals, even without consent.

Access to Your Information
We do not share your personal information with anyone outside the church without your consent unless we believe that you may be at risk, someone else is at risk or a crime has been committed, and we would then need to speak to the relevant authorities. In this circumstance we would seek your consent where possible, however there may be an occasion where we must act without it. Within the church, sensitive information is only accessible to those who need it.

Others who store, access or use some of our data are:
  • ChurchSuite is the software we use for our church management database. King’s Community Church controls what information is stored on it and how it is used. Only those who need access are given a log-in, and limits are in place to protect who can access sensitive date e.g., under-18s data is accessible only to a limited number of trustworthy people. We allow a login to MyChurchSuite to adult church members only, which allows them to access data on the Address Book which contains adult information only. You have the option to stop your personal data being available on the Address Book. It is an option offered when giving initial consent, but you can ask for it to be changed at any time.
  • Croft IT provide IT services to the church.
  • Caladine Chartered Accountants work with us on the day to day running of the finances of King’s Community Church.
  • DBS (Disclosure & Barring Service) process DBS checks where roles are eligible and applicants access this via a DBS Registered body - we use Thirtyone:eight.
  • iKnow Safeguarding provides a purpose-built secure site for the recording of safeguarding concerns and DBS results for King’s Community Church. This is accessible only to a very limited number of people involved in Safeguarding at King’s Community Church.

These service providers are bound by strict terms and conditions, ensuring they only access personal data when necessary for technical, or accounting purposes, and they are prohibited from using or disclosing this information.
Please be aware that there may be certain situations, such as safeguarding concerns or preventing crime, we may share your personal information without your consent if required by law or to protect individuals' safety, in line with UK legal requirements.

Online Address Book (ChurchSuite)
If you are a church member aged 18 or over, you can opt to be included in the online address book via My ChurchSuite. Your name will only appear if you have given consent and are actively involved in the church. If you have access, please respect others’ privacy by not sharing their details without permission.

Visual Images
At King’s Community Church, we occasionally take photographs or videos during our meetings, events, or activities for use in church communications, social media, or promotional materials. We also live stream our 09:15 meeting on YouTube. By attending our church, you may appear in these visual media images. If you do not wish to appear in photographs or videos, please contact us at info@kingscommunitychurch.co.uk to let us know.
